Bowman PTA Website Posting Guidelines for Committee Chairs

Each Committee Chair will be asked to adhere to the following guidelines with respect to the Bowman PTA website in order to ensure that their submissions are posted to the website in a timely manner.

What Information Can Be Posted to the PTA Website?

PTA Committees should use the Bowman PTA website to communicate with the Bowman community. There are three ways of doing this:

Describe your committee’s purpose and range of activities and list contact person name/s and email/s. Contribute your planned event date to the PTA academic year calendar.

Announce your upcoming events to the community using the website’s event listings. This section appears on the homepage, so parents arriving at the page will see your information right away.

Post “help wanted” requests when you are looking for last-minute volunteers to help with your event.

How Often Is the PTA Website Updated?

PTA committee heads will not post content to the website directly. Instead, we have instituted a bowmanpta.org website coordinator position. Committee heads are responsible for updating the website at regular intervals. This is a Bowman parent volunteer, so it is important that there be deadlines to which committee heads must adhere in order to see their updated information posted in a timely manner.

Here are the expectations for information submitted to the communications coordinator:

One month prior to the beginning of the school year, new or returning committee heads should assess the information posted on the website and submit changes to the coordinator. If possible, the approximate date of events and activities should be submitted, even if only the month can be named.

The events calendar will be updated on a weekly basis. Committee heads should time their postings in accordance with the following framework: information submitted by each Monday, will be posted on the website by the following Monday.

The “help wanted”  section is intended to be as responsive as possible to committee head needs for last-minute volunteers. Requests for help submitted by 6 PM will be posted by 6 PM the following day.

How Can I Submit Information for Posting?

Submit all information to the Website Coordinator at webmaster@bowmanpta.org.

Please use the following headings for your posting requests:

For committee descriptions and long-term events calendar updates:  PTA Web – General Information
For the upcoming events calendar:  PTA Web – Upcoming Event
For “help wanted” postings:  PTA Web – Help Wanted

Using these headings will save the Website Coordinator time by pre-sorting incoming posts. Only those submissions with these headings can be guaranteed posting within the update schedule.
